Position Summary:
Under the supervision of the Peninsula Hospital Administrator, the Administrative Asst will carry out assigned responsibilities as delegated by the Administrator. These responsibilities presume that the individual occupying this position is capable of independent judgment and works with minimal supervision and direction. The administrative assistant serves as the primary assistant to the Administrator and is responsible for the overall clerical and administrative system of the office.

Responsibilities
- Provide all clerical and administrative support to the Peninsula Hospital Administrator.
- Oversee and monitor the workflow from the Administrator to the next level of leadership.
- Set appointments and maintain schedules for the Administrator.
- Plan and coordinate meetings, attend and take minutes.
- Composes and types internal and external correspondence of a highly confidential nature, takes and transcribes meeting minutes, compiles and types reports and presentations for use in various meetings.
- Collects and tracks information and prepares reports utilizing such data to present to the Administrator.
- Opens, screens, and processing incoming mail including initial completion of questionnaires, facility’s credentialing packets, drafts cover letters and other materials required for response.
- Receives and screens telephone calls, responding to moderately complex inquiries. Takes messages and/or redirects callers as necessary.
- Maintains and organizes confidential files and records.
- Maintains and orders supplies and other inventories as necessary.
- Gather payroll forms for leadership staff for Administrator’s signature.
- Research and prepare reports regarding discrepancies in orders – budgeted versus actual amounts. Prepare and monitor check requests for services and purchase orders.
- Represent Hospital by participating in various facility-wide committees as scheduled.
- Other related duties as assigned and trained for.

High school graduate
Minimum Experience
Four (4) year secretarial experience. Additional business/secretarial training is preferred.
