Job Summary and Responsibilities
This job is responsible for serving as the receptionist for the Virginia Mason Franciscan Health (VMFH) Executive Offices or an assigned hospital and for providing related general office/administrative support activities for executive management. Job duties are of moderate scope and complexity and are performed within established procedures. An incumbent is engaged in extensive and varied public contact, calling for strong customer service skills. Work requires adaptation to various situations, good communication skills, and the ability to handle multiple tasks simultaneously.
Responsibilties Include:
Provides reception services for guests, including greeting and directing visitors, answering, screening and routing telephone calls, taking and delivering messages, and providing information to general inquiries from visitors, staff and others.
- Ascertains nature of business of visitors and answers routine questions; informs appropriate party of arrival; may respond to complaints or refer to appropriate party.
- Monitors restricted areas to ensure appropriate access.
- Provides hospitality services to include parking validation, directions, and refreshments.
Receives, sorts, date stamps, logs and/or distributes incoming mail to appropriate parties; gathers outgoing mail; prepares mail/packages for overnight/expedited delivery; may pick up and deliver documents and materials; may prepare materials for large mailings and/or group distribution.
Performs related general office/administrative support duties such as scheduling appointments and making arrangements on behalf of a VMFH executive, maintaining calendars and expense reports, making travel arrangements, collating/assembling documents, photocopying/faxing correspondence, reports, files and related materials, collecting, tracking and entering data, etc.
- Sets up video-conferencing and A/V equipment.
- May assist with reviewing documents, records or files for completeness, accuracy and compliance with established procedures.
- May update policy/procedure manuals.
- May troubleshoot and resolve routine problems with designated scope of responsibility; may coordinate (or act as liaison) between internal departments or external parties as requested.
Performs clerical projects as assigned by other administrative support staff.
Monitors, orders, receives and stocks office supplies; cleans and restocks work areas or other back office locations; monitors department equipment to ensure it is operational; arranges for equipment repairs and maintenance.
Performs related duties as required.
Job Requirements
Education/Work Experience Requirements:
One year of related work experience that demonstrates attainment of the requisite job knowledge skills/abilities. Executive office work experience is preferred.
