Department Overview

This position coordinates, inventories and analyzes hospital owned, new and rental equipment within the hospital environment including but not limited to; nursing, ancillary, and support services units. Creates reports based on audits of equipment, supports capital and minor purchases. Collaborates with multidisciplinary leaders and departments on supporting surplus of equipment and developing guidelines for maintaining equipment inventories and reorder points.

Function/Duties of Position

  • Coordinate all equipment storage locations within the hospital environment. Notify departments of broken inventory, missing mattresses, and heavily soiled equipment needing attention. Send daily reports to departmental leadership for tracking and fiscal purposes. Move equipment to correct hospital locations i.e. adult versus peds and utilize equipment bed lifts for proper storage. Communicate with appropriate leaders regarding proper equipment storage. 

  • Completes daily equipment audits including rental equipment, transport chairs between waterfront campus and Marquam hill campus and wound vac between unit and equipment pool. Daily report sent to appropriate departmental leaderships. Will utilize MobileView and Apple tag applications to locate equipment within the hospital & clinic environment.

  • Supports new incoming equipment and replacement capital purchases. Coordinates between CTS, SSS, and units on equipment inspections, delivery, and assembly. Includes supporting surplus of equipment as needed.
  • Supports project team with equipment logistics, moves, and unit openings. Updates projects move schedules as needed.

  • Complete quarterly audit reports for hospital equipment beds, stretchers, transport chairs, to be reconciled with CTS broken equipment and surplus equipment for replacement capital, new capital, and minor equipment requests. Coordinators with unit leaders on replacement of surplus items under SSS purview and provide information for items out of scope i.e. furniture.

  • Supports Clinical Technology Services Department in placing RFID tags on equipment during incoming inspection or as a replacement due to broken or lost tags.

  • Supports Equipment Pool with ordering and supply preparation for immediate usage or stocking. Will also support with building of code carts, airway rolls, traction carts and any other equipment needing assembly or restocking, Will conduct the delivery and exchanging of these equipment to units when needed.

  • Other duties as assigned.

Required Qualifications

  • Four years of general office or secretarial experience; OR 

  • An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR 

  • A Bachelor’s degree and two years of general office or secretarial experience; OR 

  • An equivalent combination of training and experience.

Job Related Knowledge, Skills and Abilities (Competencies):

  • Excellent communication with public and staff.
  • Strong customer service experience Report and Audit programming
  • Must be completed within 90 days of hire: In-house biohazardous items handling Other compass modules as assigned
  • Ability to multitask and function in stressful situations
  • Must be able to follow written and verbal instructions in English

Preferred Qualifications

  • Bachelor’s Degree Professional work experience in areas such as inventory, warehouse management, materials and equipment management OR
  • Three (3) years of experience in areas such as inventory, warehouse management, material and equipment management. 
  • Warehouse or inventory experience
  • Demonstrated customer service excellence. 
  • Problem solving and critical thinking skills. 
  • Medical equipment knowledge

Additional Details

  • Monday through Friday – Flexible hours and occasional weekends or holidays, as required
  • Risk of exposure to infectious disease, blood, body fluids and/or tissue as well as other unpleasant elements such as accidents, injuries and illness.
  • Risk of exposure to and be required to handle varying unpredictable, emergency and crisis situations.
  • Risk of exposure to frustrated or violent patients.
  • PPE when necessary: gloves, mask, gown, bonnet, and shoe covers.
  • Position is considered an essential role in hospital operations and providing/supporting patient care.
