Overview
We are seeking a Medical Office Assistant, also referred to as a Medical Administrative Assistant, Medical Receptionist or Healthcare Administrative Assistant. The Medical Office Assistant (MOA) of the Outpatient Rehabilitation Department is responsible for outpatient throughput. A Medical Office Assistant supports our daily administrative operations by helping patients, providers, and staff stay organized and informed. The Medical Office Assistant will handle front-desk responsibilities, manage patient records, and ensure smooth communication throughout the office.

Hours: 7:30am to 6:00pm Monday - Thursday; 7:30a - 3:00p Friday

Responsibilities
Essential Duties and Responsibilities (includes, but not limited to):
- Supports Outpatient Rehab Department which includes Physical, Occupational and Speech Therapy services
- Responsible for intake of patient demographics, registration, insurance eligibility and authorization, scheduling, financial counselling, and medical record management
- Maintain equipment temperature logs and cleaning schedules, as well as the basic management of a safe environment of care
- Schedule, confirm, and manage appointments while coordinating provider calendars to ensure efficient patient flow
- Answer phone calls, return messages, greet and assist patients with questions about appointments, referrals, medication requests, complete check-in and check-out processes, verify insurance coverage, and collect required paperwork or copays and general office information
- Maintain accurate medical records by updating patient information, scanning documents, preparing charts, and ensuring compliance with privacy regulations
- Communicate with the population served utilizing age specific techniques from pediatrics, adolescents, young adults, middle adults to geriatrics
- The MOA must maintain proficiency in medical terminology and physical medicine CPT codes
Qualifications
Education and Training

- High School Diploma or GED required upon hire
- Basic Life Support (BLS) required upon hire and maintain current
- Knowledge of medical terminology
- Customer Service experience
Additional Qualifications That Are a Plus:
- Previous hospital experience in a physical medicine office
